Chase  Transaction paperwork desk for real-estate agents

Every deadline tracked, every signature chased, every file ready for broker review.

{{BRAND}} builds the deadline timeline for each file from the contract, and you confirm it once. Then we chase the signatures and documents (inspection, appraisal, disclosures, lender items), keep the file complete against your brokerage's checklist, and send you a status email every morning. We're not licensed agents, so we never negotiate or advise. A person checks every date.

The problem

Nobody drops the ball on purpose. It just gets quiet on day 12.

Everyone is waiting on someone

The lender wants the appraisal, title wants the earnest money receipt, the other agent wants a signed addendum. Each one is a single email, sent after your day has already filled up.

The dates live in a PDF

The inspection period, the financing contingency and the closing date sit in the contract. The reminders live in your head, a calendar, or a to-do list your assistant can't open.

The gap shows up at broker review

A missing initial, an unsigned disclosure, a date that doesn't match. The file comes back after you've moved on to the next deal.

Hiring a coordinator means a salary or a per-file fee, plus training and checking their work. {{BRAND}} is a flat monthly fee by how many files you have open, and a named person checks every date.

How it works

Three steps. You can start with the files you have now.

Send us the files under contract

For each file: the accepted contract and addenda, plus who is on it (your client, the other agent, lender, title or closing attorney, inspector). Share them in a folder, or add us to your SkySlope, Dotloop or Brokermint account if your brokerage allows it.

We build the timeline, you confirm it

We pull the dates from the contract into a tracker in your own Google Sheet. A person checks each one against the contract, and you confirm the list with a single reply. Anything that depends on judgment, we ask you.

We chase, you get a morning email

We follow up on signatures, documents and lender items until each arrives, check the file against your brokerage's checklist, and send a short email every morning: what's late, what's at risk, what's newly done and who isn't answering.

What changes hands

What you send, and what you get every day

You send (for each new file)

  • The accepted contract and any addenda
  • Names and emails for your client, the other agent, lender, title or closing attorney, and inspector
  • Your brokerage's file checklist, once
  • Which messages we may send, and in whose name (we draft templates for you to approve)
  • Who gets the morning email, and your time zone

You get (every working day)

  • A timeline for every file in your own sheet, with where each date came from
  • A morning email before your day starts, sorted by what needs you
  • Signatures and documents chased, with "last asked" and notes
  • A list of what's missing against your brokerage's checklist, before broker review
  • A flag when a date is 3 days away and something is still open
  • A real person to reply to: {{FIRST_NAME}}

For context: in the job ads we read, a full-time offshore coordinator mostly costs about $800 a month (some up to about $1,300), plus the time it takes you to train and check them. US staff coordinator ads ran about $40,000–65,000 a year. Coordinator firms and independent coordinators typically charge by the file.
What we don't do: negotiate, advise your clients, explain what a contract clause means, or do anything that needs a real estate license. We don't handle earnest money, wire instructions or any payment, sign or initial for anyone, approve a file for compliance (your broker does), or give legal, tax or lending advice.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. We're office support for agents and brokerages, not licensed agents or brokers. Our working day overlaps the US and Canadian business day (it falls in our evening), so we chase lenders, title offices and other agents while they're at their desks, and your morning email is ready before your day starts.

What access do you need?

As little as possible: the accepted contract and addenda for each file, the contact list, and either edit access to one Google Sheet and one shared folder or a team-member seat in SkySlope, Dotloop or Brokermint, if your brokerage allows it. We never need your MLS login, your bank or trust account, or a login that can sign or send documents for you. You send documents out for signature, and we chase the signers.

Is my data safe?

A transaction file holds your clients' names, addresses and sometimes loan details. We use it only to coordinate your files. It's kept in our Google Workspace account with 2-step login, seen only by the person working on your account, never shared or sold, and deleted within 7 days if you leave. Please don't send bank statements, ID copies or Social Security or Social Insurance numbers; we don't need them. We'll sign your brokerage's confidentiality agreement or a data processing agreement. We never pass on or change wire instructions, and if we see some in a file we tell you.

Is this software or people?

People, with good tools. Software helps us pull dates from contracts, draft messages and sort replies. A person checks every date against the contract and every reply before it goes in your tracker or your inbox.

Who do you contact, and as whom?

The people on your file: the other agent, the lender, title or the closing attorney, the inspector, the HOA manager and your own clients. We ask for status, signatures and documents, using wording you've approved. Email goes from our desk address with you copied, or from a mailbox on your domain if your brokerage allows it, and we say we're office support for you. We don't talk to anyone about price, repairs, terms or what a clause means. Those go to you the same day.

Are you licensed? What about state rules?

No, and we don't do anything that needs a license. Some states and provinces limit what an unlicensed assistant may do, and brokerages add their own rules. We work to your brokerage's written rules and your state's or province's, and we ask before taking on any task we're not sure about. Tell us up front where your brokerage draws the line. You and your broker remain responsible for the file.

Where do the dates come from?

From the accepted contract and addenda you send. We pull out each date and any deadline the contract defines, such as a number of days after acceptance. A person checks every one against the contract and you confirm the list once. If a date depends on judgment, or an addendum changes it, we ask you. We flag at-risk dates early, but we can't promise a result: a lender or title office can still be late. What to do about it is your decision.

What don't you do?

We don't negotiate, give advice, interpret contracts, or do anything only a licensee may do. We don't handle earnest money or any payment, relay wire instructions, sign or initial for anyone, approve a file for compliance, or give legal, tax, lending or insurance advice. We don't work on commercial deals, or on wholesale or assignment deals, to start with.

What happens after the free trial?

Pick a plan or stop. Either way the tracker and every file we organized are yours.

How do I pay?

A monthly invoice that you can pay by bank transfer or by card. The fee is flat each month and never depends on a closing.
