Record  Receiving & landed-cost desk for small retailers

You count the boxes. We do the paperwork around them.

Since Stocky was retired, someone in your shop still keys each supplier invoice, works out landed cost and sorts the labels. {{BRAND}} turns the invoice into a PO, records what arrived against it, spreads freight and duty across the items, and sends back a cost-update file and a label file. A person checks every line.

The problem

The delivery is on the counter. The paperwork is still in your head.

One cost per item

Shopify keeps a single cost per item. Spreading freight, duty and exchange fees across the items you received is left to you, and when it's skipped your margin reports look better than they are.

The invoice never quite matches the box

A few units short, a price that crept up, a substitute item. Checking the invoice against the PO and what you counted can take an hour, so it slides to "we'll sort it later".

Labels are the last hour

Shopify's own label app doesn't print from the purchase order screen, so new stock gets labelled variant by variant while the boxes wait in the back room.

Apps that handle receiving, landed cost or labels cost from nothing to about $40 a month, and they work well if you have the time to key each invoice. If you don't, {{BRAND}} does the paperwork for a flat fee from $100 a month, and you don't hire or train anyone. If your own routine already works, you don't need us.

How it works

Three steps. Your next delivery is the trial.

Send the invoice and your count

Forward the supplier invoice (PDF, photo or email) and tell us what actually arrived: a photo of the packing slip with your counts marked, or a scanner or sheet export. Add any freight or duty bills when they come.

We build the paperwork

We turn the invoice into a PO (or check it against the PO you made), record the received quantities, and list every shortage, overage and price difference. Freight, duty and fees are spread across the items you received, and a person checks every line.

You import and print

You get a PO file, a receiving sheet, a cost-update file and a label file for what arrived. You import the files, mark the delivery received and print the labels. We don't need a login to your store.

What changes hands

What you send, and what you get with each delivery

You send (each delivery)

  • The supplier invoice, as a PDF, photo or forwarded email
  • Your count of what arrived: a marked packing slip, a scanner export or a sheet
  • Freight, duty and broker bills, when they arrive (a late bill just means we rerun the landed cost)
  • A Shopify product export (CSV) with SKU, barcode, vendor and cost, once and then monthly. No customer data.
  • Your label stock: the Avery sheet number or your label printer's size (once)

You get (within 1 working day of your count)

  • A PO file for Shopify's purchase-order import, matched to the invoice, and a receiving sheet of what you counted against it
  • A list of shortages, overages and price differences, and a drafted note to your supplier
  • Landed cost per unit, with the invoice cost kept beside it
  • A cost-update file for your products
  • A print-ready label file for exactly what arrived
  • A real person to reply to: {{FIRST_NAME}}

Doesn't match the invoice (2)

  • SKU-1101 · Enamel camp mugs: invoiced 120, you counted 114. The invoice bills 6 you didn't get. Ask Supplier A for a $27.00 credit (6 × $4.50).
  • SKU-1107 · Wool throws × 40: billed at $18.00, your PO says $17.00. $40.00 over.

Needs you (2)

  • SKU-NEW-01 · Brass bookmark × 200 is a new item and the invoice has no barcode. Send us the barcode printed on the packaging, or one from your own set. We won't make one up.
  • Freight · The $186.00 is the carrier's estimate; the final bill is due Friday. If it changes, we rerun the table below and send new files.

Matches

  • SKU-1102 · Tin lanterns: 60 invoiced, 60 counted, billed at the PO price of $9.00.

Ready to import and print

  • PO-2041 PO file and receiving sheet (4 lines). Received goods are worth $2,013.00 at invoice cost.

Landed cost for PO-2041

Freight, duty and broker fee spread by value across what you counted. Costs are per unit; the total is the received goods at invoice cost. Your sheet shows the formula for each line.

ItemCountedIn Shopify nowInvoice costLanded cost
Camp mug114$4.20$4.50$5.19
Tin lantern60$8.50$9.00$10.38
Wool throw40$17.00$18.00$20.75
Brass bookmark200new$1.20$1.38

Landed cost per unit is the invoice cost plus 15.3%, rounded to the cent. Your Shopify product keeps one cost, so the cost-update file carries the landed cost, and our sheet keeps the invoice cost beside it.

For context: a buyer or stockroom clerk in the US or UK costs about $16–30 an hour, and a full-time offshore assistant about $500–1,400 a month, plus the time it takes you to train and check them. Shopify apps for receiving, landed cost and labels run from free to about $40 a month, but you or your staff still key every invoice.
What we don't do: count or handle your stock, pay suppliers or move money, customs brokerage or duty classification, tax or accounting advice (including how to value your stock), or buy barcodes for you.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. The work runs on email and shared files, so a count you send at the end of your day gets worked on while you're closed. Your files come back within 1 working day of getting your count.

What access do you need?

Files, not logins. You send the invoice, your count and a Shopify product export, by email or in a shared folder. We never need passwords to Shopify, your bank, your email or your accounting system, and we don't need customer or order data, so please leave it out of exports.

Is my data safe?

Your invoices and costs are used only to do your paperwork. They're kept in our Google Workspace account with 2-step login, and seen only by the person working on your account. They're never shared or sold, and are deleted within 7 days if you leave. Supplier prices are often confidential, so we're happy to sign your NDA. If any personal data does reach us, we handle it as your processor and will sign a data processing agreement. Ask for our one-page data promise.

Is this software or people?

People, with good tools. Software helps us read invoices and work out the numbers. A person checks every line against the invoice, the PO and your count before anything goes to you.

Do you count the stock?

No. You or your staff count what arrives, and we record it. The simplest way is to mark the quantities on the packing slip and send us a photo. If a count looks wrong, such as 400 received against 40 ordered, we ask before we record it.

How is landed cost worked out?

Freight, duty, broker and bank fees are added up as billed and spread across the items you received, by value, quantity or weight, whichever you choose. We take duty and freight as billed. We don't classify goods or work out duty rates. If a bill arrives after the goods, we rerun the numbers and send new files. Shopify keeps one cost per item, so the cost-update file carries the landed cost and our sheet keeps the invoice cost beside it.

Which systems do you work with?

Shopify POS and the Shopify admin come first: we make files in the formats Shopify imports for purchase orders and product costs. If you use something else, such as a spreadsheet or another POS, tell us on the form and we'll say before the trial starts whether we can match its import format.

What don't you do?

We don't count or handle stock, pay suppliers, or move money. We don't do customs brokerage, which is licensed work, or classify goods for duty. We're not accountants, so we don't advise on how to value stock, which cost method to use or how to treat duty for tax. We don't buy or invent barcodes; they come from your supplier or from your own set. If a supplier disputes a difference, we draft the note and you send it.

What happens after the free trial?

The trial covers your next 3 deliveries over 2 weeks, with no card. After that, pick a plan or stop. Either way, the sheets and every file we made are yours.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
