Check  Payout reconciliation for short-term rental hosts and managers

Which payout is missing? Every Airbnb, Vrbo and Booking.com payout, matched to your bank.

Every month {{BRAND}} matches your Airbnb, Vrbo and Booking.com payouts, and the bookings in Hostaway, Guesty, OwnerRez or Lodgify, to the deposits in your bank. We flag payouts that never arrived, cleaning-fee and adjustment mismatches, Airbnb Resolution Center deductions and tax differences, and give you a sheet you can hand to an owner or your bookkeeper. A person checks every line.

The problem

The bookings say one number. The bank says another.

One deposit, several bookings

A deposit can cover a handful of stays, net of fees and adjustments. Finding the one payout that never arrived means working through each booking by hand.

Three platforms, three statements

Airbnb's transaction history, Vrbo's payments, Booking.com's statements, your channel manager's bookings and your bank, none of them in the same layout.

Deductions arrive late

A guest refund through the Resolution Center, a cleaning fee that changed, a shortened stay. It's easy to miss. You just see a smaller deposit a week later.

Offshore bookkeeper job posts list about $280–1,250 a month, and you still have to train and check the hire. {{BRAND}} does this one monthly job for a flat fee from $150 a month, with a named person checking every line.

How it works

Three steps. Your first month is last month's.

Send last month's files

Download the payout or transaction report from Airbnb, Vrbo and Booking.com, a reservation export from Hostaway, Guesty, OwnerRez or Lodgify, and your bank statement as a CSV or PDF. No logins needed.

We match every line

Software sorts the payouts and matches them to bookings and deposits. A person then checks every difference, and every payout the software couldn't place, and drops anything we can't back up with a number.

You get an owner-ready sheet

A summary by channel, a list of what to follow up with drafted messages you send from your own account, and one tab per owner or property. Open items carry forward until they're settled.

What changes hands

What you send, and what you get each month

You send (each month)

  • The payout or transaction report from each channel you use, as CSV
  • A reservation export from your channel manager, with confirmation codes, dates, listing and amounts
  • Your bank statement for the account that receives payouts (CSV or PDF)
  • Which listings belong to which owner, if you report to owners (once)
  • Guest names, emails and phone numbers are not needed. Please delete those columns.

You get (within 5 working days)

  • A short email: what's missing, what's different, what checks out
  • A reconciliation in your own Google Sheet or Excel file, with a tab per owner or property
  • Each payout tied to a booking and a bank deposit
  • Drafted messages to Airbnb, Vrbo or Booking.com for you to send
  • Tax amounts that differ between your bookings and your payouts, listed for your accountant
  • A running list of open items, carried to next month
  • A real person to reply to: {{FIRST_NAME}}

What lands in your inbox after each month

A short summary, the exceptions sorted by what needs you, and the sheet behind it. This sample uses made-up units, bookings and numbers.

Subject September payouts: 3 not in your bank, 3 different amounts, 2 deductions. $2,976.60 less than expected

Payout not in your bank (3) · $2,186.60

  • AB-1041 · Unit 4B · Airbnb, 14–18 Sep: $814.80. Airbnb shows it paid on 15 Sep to a payout method ending 4471. That isn't one of your two bank accounts. Is it an old card?
  • VB-5520 · Cabin 7 · Vrbo, 8–12 Sep: $1,046.20. Vrbo's statement says paid on 10 Sep. No matching deposit in either account by 30 Sep. Ask Vrbo for the payment reference.
  • BK-3307, BK-3312 · Studio 2 · Booking.com, two stays in late Aug: $325.60. Both are on Booking.com's payment statement dated 12 Sep. Neither is in a deposit.

Amount is different (3) · $380.00

  • AB-1052 · Unit 9A · cleaning fee: Hostaway shows $140.00, Airbnb paid for $110.00. $30.00. The cleaning fee on the Airbnb listing may be out of date.
  • AB-1060 · Lakehouse 3 · guest shortened the stay by 2 nights: Airbnb paid $1,180.00, Hostaway still shows $1,475.00. $295.00. Probably a records fix in Hostaway, not money owed to you.
  • VB-5533 · Cabin 2 · Vrbo paid $870.00, Hostaway expects $925.00. $55.00. Vrbo's statement doesn't say why. Worth asking.

Deducted from a payout (2) · $410.00

  • AB-1047 · Unit 4B · Resolution Center refund of $260.00 to the guest of AB-1038, taken from this payout. Reason shown: cleanliness. You can reply in the Resolution Center if you disagree.
  • AB-1055 · Unit 6 · Resolution Center partial refund of $150.00, taken from this payout. Reason shown: missing amenity.

Tax differences (2) · for your accountant

  • Lakehouse 3 · Hostaway shows $141.60 occupancy tax on 3 Airbnb stays. Airbnb says it collected and remitted it, so it isn't in your payout. Marked "remitted by Airbnb" so it doesn't show as missing.
  • Cabin 7 · Vrbo's statement shows $62.40 lodging tax paid to you in the payout. We list it. What you owe is a question for your tax adviser.

Checked and matches

  • 65 of 74 reservations match a bank deposit after channel fees, across 29 deposits. Several Airbnb deposits cover more than one stay; each is split out in your sheet.
Attached: the reconciliation (also in your Google Sheet, tab "Sep 2026") and drafted messages to Airbnb and Vrbo. Open items stay on next month's sheet until they're settled.

For context: job posts we've read list offshore bookkeepers at about $280–1,250 a month, offshore property accountants at about $500–2,000, and US bookkeepers at about $27 an hour. One posted reconciliation project paid $600 for a week of work.
What we don't do: keep your books, file tax or occupancy-tax returns, sign off trust or client-money accounts, contact the platforms for you, or collect or move any money. This is a check of your records, not accounting or tax advice.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. The work runs on exports and shared files, so the time difference doesn't slow it down: your reconciliation comes back within 5 working days of getting the files.

What access do you need?

Files, not logins. You download the payout reports and a bank statement, and email them or drop them in a shared folder. We never need passwords to Airbnb, Vrbo, Booking.com, your channel manager, your bank or your email. A statement you download from your bank is all we use.

Is my data safe?

Your reports and statements are used only to reconcile your payouts. They're kept in our Google Workspace account with 2-step login, and seen only by the person working on your account. They're never shared or sold, and are deleted within 7 days if you leave. We don't need guest names, emails or phone numbers, so please delete those columns; confirmation codes are enough. If any personal data does reach us, we handle it as your processor and will sign a data processing agreement. We're happy to sign your NDA. Ask for our one-page data promise.

Is this software or people?

People, with good tools. Software sorts the payouts and matches them to bookings and deposits. A person checks every difference, and every payout the software couldn't place, before it goes on your list. If we can't show the numbers behind a line, it goes under "ask", not "missing".

Which channels and tools do you cover?

Airbnb, Vrbo and Booking.com, with bookings from Hostaway, Guesty, OwnerRez or Lodgify, or a plain export from whatever you use. If you also take direct bookings paid by card, tell us in the form and we'll say what we need to include them. We work with the reports each platform lets you download, so if a platform's report is thin, we say so in the sheet.

Why doesn't one deposit match one booking?

Platforms pay on their own schedules and a deposit can combine several stays, net of fees, adjustments and refunds. That is why a total that looks about right can still hide a missing payout. We split each deposit back into the bookings it covers.

What if everything matches?

Then you get a short note listing what we checked and confirming it matched. Some months that's the result, and the owner-ready sheet is still yours to share. If several months in a row come clean, tell us and we'll suggest checking less often, or you can stop.

What don't you do?

We're not a bookkeeping firm, accountant, auditor or tax adviser, and this is not accounting or tax advice. We don't keep your books, file or calculate occupancy-tax returns, or sign off trust or client-money accounts. Where a manager holds owners' money, rules vary by state and country, and some require a licence or a licensed accountant's sign-off. We hold no such licence and sign nothing off. We don't contact Airbnb, Vrbo or Booking.com for you, and we never collect or move money. We draft messages; you send them.

What happens after the free reconciliation?

Last month is reconciled free, with no card. After that, pick a plan or stop. Either way the reconciliation sheet and every file we made are yours.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
