Distributor invoice & margin check
Distributor invoices matched to what you bill clients; unbilled seats and price rises flagged.
Every month {{BRAND}} takes the leavers list from HR and checks it against the exports you already pull from Microsoft 365 and Entra: users, sign-ins, app consents, mailbox forwarding and delegation, and licences. You get a short list of accounts still active, forwarding rules, app grants and licences to reclaim. You make every change. We never log in to a tenant. A person checks every line.
The process is a 40-step document, and the ticket gets passed back and forth until someone closes it. When it's done in a hurry, a lot of stuff gets missed.
The user list, sign-in logs, enterprise apps, Exchange forwarding, mailbox permissions and licences each live in a different screen. Checking one client takes a morning nobody has, so licences keep billing.
HR sends names, not usernames. "Bobby" is Robert, the last day was moved, and some leavers never made the list. Hours of notice make it worse.
A licence left on a leaver keeps billing, and a forwarding rule left on one keeps sending mail outside the company. {{BRAND}} checks for both, and for the rest of the list above, for a flat fee from $100 a month. You still make every change yourself, in the tools you already use.
HR's leavers list for each client, with last working days, plus the exports from each tenant: users with last sign-in, app consents, forwarding and delegation, licences. CIPP, PowerShell or the admin centres all work. We send a checklist of which report gives which export.
We match each leaver to their accounts, then check every account against the leaver's last day: still enabled, signed in after leaving, forwarding set, delegated access, app grants, licence assigned. A person checks every flag. Anything we can't back with an export row goes on an "ask first" list.
Per client: accounts to disable, forwarding rules to remove, app grants to revoke, licences to reclaim, each with the row behind it. You make the changes. Next month we check they landed.
A short summary, a match table for each client, and a ticket note you can paste into your PSA. This sample uses made-up clients, people and numbers.
In your sheet, each row links to the export lines it came from. Sample for Client 12.
| Leaver | Last day | Account | Last sign-in | Forwarding | Licence |
|---|---|---|---|---|---|
| Leaver A (sales) | 12 Sep | Enabled | 3 Oct | Rule to outside address | Business Premium |
| Leaver B (support) | 5 Sep | Blocked | 5 Sep | All mail forwarded | Business Premium |
| Leaver G (finance) | 16 Sep | Blocked | 16 Sep | None | None |
| Leaver H (intern) | 26 Sep | Blocked | 25 Sep | None | None |
Leaver A (sales), last day 12 Sep. Disable the account. Remove the inbox rule that sends "invoice" mail to an outside address. Remove the consent for "Notes Sync". Reclaim Business Premium.
Leaver B (support), last day 5 Sep. Remove the forwarding of all mail to an outside address. Reclaim Business Premium.
Please mark each line done in the sheet. We'll check it against next month's exports.
Last month checked free. Send last month's leavers list and the exports. No card, no contract.
Get my free checkFor context: a full-time offshore assistant costs about $500–1,400 a month. CIPP is free to self-host and about EUR 99 a month hosted, and its offboarding wizard does the offboarding itself; we check afterwards that nothing was missed. Microsoft 365 Lighthouse is free for CSP partners, and some paid multi-tenant tools for MSPs start at about $250 a month.
What we don't do: log in to your tenants or ask for admin consent, change anything in them, disable accounts or remove access, give security, legal or compliance advice, or act as a SOC 2, ISO 27001 or Cyber Essentials audit.
{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. The work runs on email and shared files, so the time difference doesn't slow it down: your review comes back within 3 working days of getting the exports. The first month takes up to 5, because we set up the matching.
Files, not logins. No tenant access, no admin consent, no delegated partner access, no passwords or API keys. You run the reports you already know, or the ones in our checklist, and email them or drop them in a shared folder. Read-only exports are enough.
The exports hold staff names, work email addresses, forwarding addresses and licence data. We use them only to run your check. They're kept in our Google Workspace account with 2-step login, seen only by the person working on your account, never shared or sold, and deleted within 7 days if you leave. Please leave out mail content and file names; we don't need them. If you're an MSP, your client's staff data passes through you to us, so we'll sign a data processing agreement as your sub-processor, with the EU standard contractual clauses and the UK Addendum where they apply, and we'll sign your NDA if you have one. We don't sign HIPAA business associate agreements. The exports contain staff accounts, not patient records, but if a client's rules say a contractor can't see even staff lists, leave that client out.
People, with good tools. Software matches names, joins the exports and does the arithmetic. A person checks every flag against the export rows before it reaches you. If we can't point to a row that backs it up, it goes on the "ask first" list, not the fix list.
We send a checklist naming the report for each one: the Entra user list with last sign-in, enterprise app consents, Exchange forwarding and mailbox permissions, and licence assignments. They can come from CIPP, PowerShell or the admin centres, whichever you already use. Last sign-in dates typically need Entra ID P1, which Business Premium includes; on other plans we fall back on mailbox last-logon times, which are less exact. Once you know where the reports are, it typically takes a few minutes per tenant. If you get stuck on one, say so and we'll show you another route.
No. We can only report on what's in the exports you send. Logins that sit outside Microsoft sign-in, such as a separate SaaS account or an API key someone created, won't appear unless you add them to the leavers sheet. Power Platform flows only show up if you send the inventory. A clean review means we found nothing in the files, not that nothing exists. Each report lists what was checked and what wasn't.
Many don't, or send it late. Use your closed offboarding tickets or any list you have, even a pasted email. We also flag accounts that nobody has signed in to for 60 days or more and that aren't on any list, so you can ask the client whether they're leavers.
Microsoft 365 is what we check today. If some of your clients run Google Workspace, say so in the form and we'll tell you straight whether we can check them, before you send anything.
We don't do the offboarding. We don't log in to your tenants, change anything, disable accounts, remove access or revoke grants. You make every change. We don't advise on which licences a client needs, and we're not a security audit, a compliance audit or an insurer's assessment. If a client's auditor or insurer asks for offboarding records, the fix list and the log of fixes are yours to share. We don't give legal advice, and we don't handle money.
Pick a plan or stop. Either way, the fix list and every file we made are yours.
A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
Tell us roughly how many tenants you look after and how you offboard today. {{FIRST_NAME}} will reply within one working day with a checklist of exports to send. Your free check comes back within 5 working days of getting them.
