Gift-to-deposit reconciliation
Gifts in your donor CRM matched to QuickBooks deposits and payouts each month.
{{BRAND}} keeps your grant calendar: letters of inquiry, applications, interim reports and final reports. We chase your program staff for the numbers, stories and attachments each one needs, then put a draft together from your own data for your team to finish and submit. A person checks every date and figure. We never submit for you, and we never promise funding.
Deadlines live in Excel, Airtable, Asana or a personal calendar. When one person manages many grants and then leaves, the dates leave with them.
Attendance is in one sheet, spend is in QuickBooks, and the stories are in someone's inbox. Everyone means to send them. Then report week arrives.
Which grants have something due in 90 days? How much of each budget is spent? Who is still owed an answer? You can only find out by asking five people.
A grant coordinator is a full salary most small nonprofits can't add. {{BRAND}} keeps the calendar and chases the inputs for a flat fee from $150 a month. Your own staff keep the voice, the judgement and the sign-off.
Share the sheet you already use (Excel, Google Sheets, Airtable or Asana), or just your award letters and funder guidelines. Tell us who owns each grant and who holds each set of numbers. One short call or email is enough.
Every letter of inquiry, application, interim report and final report goes in with its due date, what the funder asks for and who supplies it. We ask your staff for each item well before the date, and follow up until we get it.
We assemble a report draft in the funder's template or your own document, with figures from your records, the source of each one, and any gaps marked. Your team finishes it, your lead reviews it, and you submit it from your own funder portal.
Short, sorted by what needs you, and followed by the draft your team finishes. This sample uses made-up funders, programs and numbers.
In your document, each figure carries its source. Gaps are marked for your team, not filled in by us.
| The funder asks for | Draft figure | Where it came from |

| Children with a start and an end reading test | 212 of 240 | Assessment sheet. 28 not yet re-tested; noted in the draft. |
| Volunteer hours, 1 Jan to 30 Sep | Missing | Asked Jordan on 5 and 9 Oct |
| Two participant stories | Missing | Asked Jordan: 3–4 sentences each, no names or photos |
| Spent on tutor stipends | $14,980 of $22,400 | QuickBooks export, 30 Sep (67%) |

Hi Jordan,
Priya asked us to help get the Foundation A interim report ready. The enrolment and test numbers are in the draft already, thank you.
Two things are still missing: (1) the volunteer hours from 1 Jan to 30 Sep (a rough total is fine), and (2) two short participant stories, 3–4 sentences each, with no names or photos.
Could you reply by Wed 14 Oct so Priya has a day to review before it's due? If it's easier, paste them straight into the shared draft.
Thanks,
{{FIRST_NAME}}
An active grant is any application or award with something still due: a letter of inquiry, an application, or a report.
Free for 2 weeks on the grants due in the next 90 days. No card, no contract.
Start the free trialFor context: job posts for grant coordinators in US nonprofits, cities and universities list about $60,000–127,000 a year. Offshore grant assistants advertise about $250–950 a month, and a general offshore assistant about $500–1,400, plus the time it takes you to train and check them. A part-time grant assistant can cost less than our two upper plans, but the calendar then depends on one hire, and leaves when they do.
What we don't do: submit applications or reports for you, sign certifications, find funders or write new applications, give accounting, audit or legal advice, judge whether a cost is allowable under a grant, solicit gifts or grants, or touch your bank or any money.
{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. The work runs on email, shared sheets and documents, so the time difference doesn't slow it down: requests reach your staff in their morning, and their answers are logged before your next working day starts.
As little as possible: edit access to one calendar sheet, a folder with your award letters, funder guidelines and reporting templates, and the figures your staff send us. For spend we only need a budget-to-actual export from QuickBooks or your accounting system, or a read-only user if you'd rather. We never need your funder portal logins, your bank, or passwords to your email.
Your award letters, budgets and report figures are used only to keep your calendar and draft your reports. They're kept in our Google Workspace account with 2-step login, and seen only by the person working on your account. They're never shared or sold, and are deleted within 7 days if you leave. Please send counts and anonymous stories only, with no names of the people you serve. We can't take health records (including anything covered by HIPAA), legal or social-work case files, or anything that identifies a child. We're happy to sign your NDA, and if any personal data does reach us we handle it as your processor and will sign a data processing agreement. Ask for our one-page data promise.
People, with good tools. Software helps us sort what comes in and draft messages and tables. A person reads every reply, checks every date against your award letter, and checks every figure against its source before it goes into a draft.
By email from our desk address (copying your grants lead), from an address on your own domain, or in a shared Slack or Teams channel if that's where your team answers. Each request is one specific ask with a date. If someone stays silent after two asks, we tell your grants lead and your ED in the digest instead of nagging.
We can put their dates in the calendar, chase the numbers, and draft from your figures. Federal awards have their own cost rules (the Uniform Guidance), and many state grants add their own. Whether a cost is allowable, how it's charged, and any certification are for your finance lead or auditor, not us.
Any application or award with something still due. A multi-year award with a report every quarter is one active grant. A grant that's fully reported and closed stops counting. Letters of inquiry in progress count too. We'll agree the list with you at the start.
We don't submit applications or reports, log in to funder portals, sign certifications, or contact a funder or program officer unless you ask us to. We don't find funders, write new applications or promise funding. We don't give accounting, audit or legal advice, judge whether costs are allowable, or collect or move money. We aren't a professional fundraiser or fundraising counsel, and we never solicit gifts or grants for you. We charge a flat monthly fee, never a share of any grant.
After the 2 weeks, pick a plan or stop. Either way the calendar, the drafts and every log we made are yours.
A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
Tell us roughly how many grants are active and where you track them. {{FIRST_NAME}} will reply within one working day with a short setup list. We aim to have your calendar built and the first requests out within a few working days of getting your award letters.
