Chase  Trade credit applications desk for wholesalers

New wholesale accounts, papered and chased. You make the credit call.

When a new customer asks for net 30, {{BRAND}} sends your credit application, then chases for the signed form, the trade and bank references and a resale or tax-exemption certificate. Everything goes into your own sheet, and you get a one-page summary for your credit decision. If you ask, we then set the approved terms up in Shopify B2B or QuickBooks. A person checks every document. We never make the credit decision and never chase overdue money.

The problem

The customer wants to order this week. The paperwork can drag on for weeks.

The credit app comes back half empty

No signature, one trade reference instead of three, "will send the rest later". Every gap is another email, and the first order sits in limbo.

References are other people's inboxes

Their suppliers and their bank answer when they get to it. Nobody on your side owns the chasing, so the file waits and so does the order.

Certificates are easy to take and easy to forget

A resale certificate for the wrong state, an unsigned one, or one that quietly runs out. If you can't produce a valid one when the state asks, the tax usually falls on you, the seller.

Who this is for: a wholesaler or brand that opens a few new net-terms accounts a month, where the paperwork lands on the owner or a sales rep. If you open one a quarter, a form and a calendar reminder cost less, and we'll say so.

How it works

Three steps. You can start this week.

Send us your form and your rules

Your credit application (if you have none, we can send a basic template for your lawyer to review), which references and certificates you require, and what you want in the summary. One short call or email is enough.

We chase until it's complete

When a customer asks for terms, forward us their email. We send your application, check it's filled in and signed, ask for what's missing, request the trade and bank references they list, and follow up until each one answers or we flag it.

You get a one-page summary

Applicant, requested terms, references, certificate and anything missing or odd, in your sheet. You say yes, no or a lower limit. If you ask, we then enter the approved terms in Shopify B2B or QuickBooks.

What changes hands

What you send, and what you get

You send

  • Your credit application form, and what you require from each applicant
  • Each new customer's name and email, or just forward their request for terms
  • Your decision on each: approve, decline or a lower limit, with the terms
  • Edit access to one sheet (or we keep it and send it)
  • Only if you want terms entered for you: a limited login for Shopify or QuickBooks

You get

  • A tracker in your own sheet: one row per applicant, what's in, what's out, last chased
  • A one-page summary for each complete application
  • A short weekly email: who's complete, who's waiting, who's gone quiet
  • Resale certificates that are missing or expiring soon, with renewal requests sent
  • Approved terms entered in Shopify B2B or QuickBooks, if you ask
  • A real person to reply to: {{FIRST_NAME}}
Sample output

The weekly email, and the summary behind it

Plain, short, and sorted by what needs you. This sample uses made-up customers and numbers. We show the facts and give no recommendation.

For context: a full-time offshore assistant costs about $500–1,400 a month, plus the time it takes you to train and check them. A US accounts receivable clerk costs about $25 an hour. If your customers fill in forms without being nudged, a Shopify app for trade applications or certificates, often free or under $30 a month, may be enough. We're for when the chasing is the problem.
What we don't do: make credit decisions or set limits, send approval or decline letters, pull credit reports or scores, collect overdue money or call customers about late payments (we're not a collection agency), give legal, tax or accounting advice, or sign anything for you.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. We're a new desk, so the offer is small on purpose: two plans, and a free trial before you pay anything. Most of the chasing is by email, so the time difference rarely slows it down. If a reference will only talk on the phone, we tell you and your team makes that call.

What access do you need?

As little as possible: your credit application form, edit access to one sheet (or we keep the sheet and send it to you), and your new customers' contact details. If you want terms entered for you, a staff or user account in Shopify or QuickBooks with only the permissions it needs and 2-step login, which you can remove at any time. We never need passwords to your bank, your payment accounts or your email.

Is my data safe?

Credit applications can hold tax IDs, bank details and an owner's personal details. They're kept in our Google Workspace account with 2-step login, seen only by the person working on your account, never shared or sold, and deleted within 7 days if you leave. We're happy to sign your NDA, and a data processing agreement (we act as your processor under GDPR and UK GDPR) where personal data is involved. If your form asks for personal ID numbers, tell us in the trial and we'll agree how they're handled, or have applicants send those straight to you. Ask for our one-page data promise.

Is this software or people?

People, with good tools. Software helps us draft messages and sort what comes back. A person reads every document and every reply, and checks every line of the summary before you see it.

What do you collect, and how do you check it?

The signed application, the trade references (usually two or three suppliers who give them credit), the bank reference and the resale or tax-exemption certificate. For references, we email the contacts your applicant lists with your short questions. For the bank, we send the request with the applicant's signed authorisation, and some banks won't reply or will only reply to the applicant; we note that. For certificates we check that the form is complete, signed and dated and that the state matches the ship-to. Where an official free lookup exists, such as VAT numbers on gov.uk or ABNs on the Australian Business Register, we run it and attach the result. A complete form is not proof the exemption is valid, so you decide whether to accept it.

How do you track expiring certificates?

You tell us your policy, for example "refresh every 3 years" or "the date on the certificate". Some states' certificates expire and many don't, so your policy or your adviser sets the rule, not us. We record the date for every account and, about 60 days before, ask the customer for a new one and list it in your weekly email. Send us your current accounts and we'll show you which certificates are missing or running out.

Can you set up the account in Shopify B2B or QuickBooks?

Yes, if you ask, and only after you've approved. In Shopify B2B we create the company with the net terms you chose and note the certificate on file. In QuickBooks we create the customer with the payment terms and tax-exempt status. We use only the terms you give us. If you'd rather not give us a login, you get a ready-to-enter sheet and key it in yourself.

What don't you do?

We don't decide who gets credit, set limits or recommend approval: you do, and the summary only lays out the facts. We don't send approval or decline letters; those come from you. We don't pull credit reports or scores (if you buy reports, forward them and we'll file them with the summary). We're not a collection agency: we don't collect overdue money, call customers about late payments or send dunning notices. We're not lawyers, accountants or a credit bureau, so we give no legal, tax or accounting advice, and we don't tell you whether an exemption holds up. We don't sign anything for you. Your credit application's wording, including any clause the owner signs personally, is yours; have your lawyer review it.

What happens after the free trial?

Pick a plan or stop. Either way the sheet and every document in it are yours. If the trial shows you open fewer than about three new accounts a month, we'll say so, because a form and a reminder will probably cost you less.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
