Chase  Tax-season document chase for small accounting firms

Stop chasing clients for W-2s and 1099s. We follow up, and tell you who's still missing.

During tax season {{BRAND}} chases each of your clients for their source documents against your own per-client checklist: W-2s, 1099s, K-1s, statements and receipts (P60s and self-assessment records in the UK, T-slips in Canada). We file what arrives in your portal or folders and send you a weekly status by client. A person checks every line.

The problem

Clients send their documents when they're asked, and asked again.

Reminders get ignored

Your portal can send reminders. Clients ignore them, or email and text a photo instead. So someone on your team still writes "we're still missing your 1099-B" by hand, client by client.

The checklist lives in three places

The organizer in the portal, a spreadsheet, and a staff member's inbox. Uploads arrive as a clutter of files with names like IMG_3045.pdf, and nobody is sure what is still outstanding.

You find out at return time

A missing K-1 or brokerage statement turns up when a preparer sits down to the return. The file gets parked, and your busiest weeks have no slack left.

A full-time offshore assistant costs about $500–1,400 a month, and you still have to train and check them. {{BRAND}} does the follow-up for a flat fee from $150 a month, so your preparers can keep preparing.

How it works

Three steps. You can start before the season does.

Send us your clients and checklists

Share a client list with email addresses and what you need from each, from TaxDome, Canopy, Karbon, Excel or Google Sheets. Last year's list is a fine start. We draft one intro message in your firm's voice for you to approve.

We chase on your schedule

We ask for each missing item by email, portal message or text through your own tool, and follow up until it's in. A person reads every reply. Your checklist decides what a client owes, never us. Clients who go quiet are flagged for you to call.

You get a weekly status by client

What arrived and was filed, what's missing, and who isn't answering. Items are ticked off in your portal or sheet as they arrive, and files are named the way your firm names them.

What changes hands

What you send, and what you get every week

You send (once)

  • Your client list with email addresses, or a shared sheet
  • A checklist for each client, or last year's list to start from
  • Your cut-off dates, and who the messages should come from
  • A limited portal login or a shared folder to file into
  • For US firms: which clients have given consent for offshore handling (see the FAQ)

You get (every week)

  • A status email by client, in your inbox first thing Monday
  • Documents filed and ticked off, usually within one working day of arriving
  • A "please call these clients" list for anyone who has gone quiet
  • A flag when a client passes your cut-off date
  • The full checklist in your portal or sheet, always current
  • A real person to reply to: {{FIRST_NAME}}

Subject Week of 15 Feb: 21 of 62 clients complete, 3 past your cut-off, 6 not answering

Past your 10 Feb cut-off (3)

  • Client 07 · 1099-B from the brokerage is missing. Asked 3 times since 20 Jan. Client says it is "coming from the broker". Could you call?
  • Client 23 · K-1 from a partnership. Client is waiting on the partnership's accountant. We've asked for the date they expect it.
  • Client 44 · mortgage interest statement and property tax bill. Client sent page 1 only. We've asked for the full statement.

At risk (2)

  • Client 19 · rental income and expenses sheet and the 1098, due to you 1 Mar. Nothing yet after 2 reminders.
  • Client 36 · W-2 from a second job. Client says the employer hasn't sent it. We've asked for the date they expect it.

Received and filed this week (23 items)

  • Client 12 · last 2 items in. All 9 filed to the 2026 folder, checklist complete.
  • Client 28 · 2 W-2s and 1099-INT from Payer A, filed and named to your convention.
  • Client 51 · 3 1099-NECs (Payer B, C, D). One shows tax year 2025, so we've asked for the 2026 form.

No reply (6)

  • Client 31 · 2 emails + 1 portal message since 27 Jan, no answer. We don't phone clients, so this one is yours to call.
  • Client 58 · 3 emails, none opened. Is there a second contact, like a spouse or bookkeeper?
  • 4 more are listed in your sheet.
The other 30 clients are in progress and on schedule. Full checklist: your portal or Google Sheet

The checklist behind it

In your portal or sheet, one line per client. "In" means the file is there and looks like what was asked for. Your preparer decides whether it is complete and correct.

For context: a full-time offshore assistant costs about $500–1,400 a month, plus the time it takes you to train and check them. Job ads for bookkeepers list about $27.50 an hour in the US, about £32,000 a year in the UK and about C$29.50 an hour in Canada. A portal such as TaxDome Pro lists at about $1,000 per user per year; we work alongside it, not instead of it.
What we don't do: prepare or review returns, give tax advice, decide which documents a client needs, contact the IRS, HMRC, CRA or ATO or use your e-file credentials, collect or move money, sign for anyone, or phone your clients.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. The work runs on email and your portal, so the time difference doesn't slow it down: your status email is in your inbox first thing each Monday.

What access do you need?

As little as possible: your client list and checklists, plus either a limited login to your portal or a shared folder to file into. We never need your tax software, your e-file credentials, your bank, or any client's IRS, HMRC, CRA or ATO account. If your portal charges per user, we can work from a shared folder and sheet instead, so you don't pay for an extra seat.

Is my data safe?

Tax documents are sensitive and we treat them that way. We file straight into your portal or folder and don't keep our own copy of client documents. Anything we hold on the way is kept in our Google Workspace account with 2-step login, seen only by the person working on your account, never shared or sold, and deleted within 7 days if you leave. We're happy to sign your NDA and, for UK, Canadian and Australian firms, a data processing agreement. Ask for our one-page data promise.

What about client consent and the IRS rules?

For US firms: under section 7216 of the Internal Revenue Code, giving a client's tax return information to a provider outside the US generally needs that client's consent, with extra limits on Social Security numbers. That is your firm's consent process, and we work inside it. We only work on clients you tell us have consented, and we never ask a client for a Social Security number. We aren't your lawyer, so ask your own adviser how the rule applies to your firm. UK, Canadian and Australian firms have their own data protection rules, and we'll sign a data processing agreement that covers sending data to us in Bangladesh.

Is this software or people?

People, with good tools. Software helps us draft reminders and sort what arrives by form type, payer and tax year. A person reads every reply and checks every item against your checklist before it is ticked off and filed. "Received" means the file is there and looks like the right form for the right year. It does not mean the figures are complete or correct, which is your preparer's call.

How do you contact my clients?

In your firm's name, by email from your address or from a desk address copying you, by portal message, or by text through your own tool if you use one. You approve the wording once and can see every message. If a client still hasn't sent something after our follow-ups, we don't pressure them or talk about penalties. We put them on your "call these clients" list.

Which portals, software and countries do you work with?

Any portal or folder: TaxDome, Canopy, SmartVault, Karbon, Liscio, Financial Cents, Onvio, Dropbox, Google Drive, OneDrive, or plain email. We never log in to your tax software or enter data into it. We work from your checklist in your terms: W-2s, 1099s and K-1s in the US, P60s, dividend vouchers and self-assessment records in the UK, T4, T5 and T3 slips in Canada, and income, interest and dividend statements in Australia.

What don't you do?

We don't prepare, review or sign returns, give tax, legal or accounting advice, or tell a client which documents they need: your checklist decides that. We don't contact the IRS, HMRC, CRA or ATO, use your e-file or agent credentials, or enter data into your tax software. We never collect or move money, including your fees, and we don't phone your clients. We're not a licensed tax preparer or registered tax agent, and we don't act as one.

What happens after the free trial?

Pick a plan or stop. Either way, your checklists, filed documents and status history are yours. If you only need us until your filing deadline, cancel then and restart next season.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
