Record  Supplier price-list mapping for stores and wholesalers

The import takes five minutes. We do the messy hour before it.

Send {{BRAND}} your suppliers' price lists, spec sheets and buy sheets, whether they come as PDF, Excel or an email. We match every row to your products in Shopify, WooCommerce, QuickBooks, Cin7, Lightspeed or your ERP. Then we list every cost change, new SKU and discontinued item for you to approve, and hand back a file ready to import. A person checks every line on the change list.

The problem

The new price list arrived. Now someone has to make it fit.

Every supplier sends it differently

One sends a PDF, another an Excel file with the columns renamed again, a third pastes a buy sheet into an email. Pack sizes change, and stock says "low" instead of a number.

Their code isn't your SKU

The supplier file is keyed on their part number. Your store is keyed on your own SKU or handle. One wrong match and the import updates the wrong product, or adds a new one, and the store has two of everything.

Small slips cost real money

A comma read as a decimal point. A case price entered as a unit price. A cost rise nobody spotted. You sell below cost, or refund a customer for the wrong size.

Most of the work happens before the import: matching, checking and deciding. We do the matching and checking. You still make every decision, and now you can see all of them on one list.

How it works

Three steps. You can start with the next list that arrives.

Send the list and a product export

Forward the supplier's email or drop the file in a shared folder. Add an export of your products and costs from Shopify, WooCommerce, QuickBooks, Cin7, Lightspeed or your ERP. For each new supplier we build a mapping once (columns, units, pack sizes, SKU matches) and save it for next time.

We match and check every change

Software reads the file and sorts the rows. A person then checks each change against the last list: cost up or down, new SKUs, items that have gone, pack or unit changes, and any row we couldn't match.

You approve, then import

You get a change list to approve, all of it or line by line, and an import file in your system's own format. Import it yourself, or on Shopify let us run it with a staff account limited to products, once you've approved it.

What changes hands

What you send, and what you get back for every list

You send (once, then as lists arrive)

  • An export of your current products and costs (Shopify product CSV, WooCommerce export, QuickBooks item list, Cin7 or Lightspeed product export)
  • Your rules: markup or margin floor, price rounding, and whether new items go in as drafts
  • Each new supplier list: forward the email, or drop the file in a shared folder. For a new supplier, send the previous list too if you have it
  • If you like, an intro to each supplier's contact, so we can ask about unclear rows with you copied
  • Who approves changes, and your time zone

You get (in 1–3 working days per list)

  • A change list to approve: cost up, cost down, new SKUs, items gone, pack or unit changes
  • Rows we couldn't match, with our best guess and the reason
  • An import-ready file: Shopify CSV, Matrixify, WooCommerce, QuickBooks items, Cin7, Lightspeed or your ERP's template
  • A change log showing when and why each SKU was touched, and which list it came from
  • A clean master sheet for each supplier, which stays yours
  • A real person to reply to: {{FIRST_NAME}}

The email you get after each supplier list

Sorted by what needs you: questions first, then cost changes, new items and anything missing. This sample uses a made-up supplier, store, SKUs and prices.

Subject Supplier B October list: 3 questions, 23 cost changes, 6 new items, 14 missing

Needs your answer (3)

  • BR-0419 · cabinet knob, satin nickel: the PDF shows "1,25". Last list was $1.19 a unit, so we read it as $1.25, not $125. We've asked Supplier B to confirm, copying you.
  • BR-2275 · drawer slide 18 in: sold per pair last time, per single now. $8.90 a pair → $4.70 each, so $9.40 a pair (+6%). Your store sells them in pairs. Keep it that way?
  • SB-5520 · "soft-close hinge, new style": no match in your store. Closest is your HG-118 soft-close hinge 35 mm. Same item with a new code?

Cost up (17)

  • BR-1180 · cup pull 3 in, black: $2.10 → $2.65 (+26%). At your $3.99 price, margin drops to 34%, under your 40% floor. Your rule gives $4.49.
  • BR-2210 · brass hinge 75 mm: $3.40 → $3.85 (+13%). Margin now 52%.
  • 15 more rises between 2% and 8%, all listed in your sheet.

New items (6) and cost down (6)

  • BR-3105 · bar pulls in 96, 128 and 160 mm, matte black and brushed brass: 6 new SKUs, ready to add as drafts at your 2.2× markup.
  • BR-0870 · hook rail, 5 hooks: $11.20 → $10.40. We haven't touched your selling price. Plus 5 more small drops.

Not on this list (14)

  • 14 SKUs you buy from Supplier B aren't on the new list. 9 are marked "discontinued" in the supplier's cover email. We've asked about the other 5. Nothing is hidden or deleted until you say so.
The other 1,140 rows match the last list exactly. Once you approve, the import file is ready: 23 products updated and 6 new as drafts (Shopify CSV). The 3 questions stay out until they're answered. Change list: your Google Sheet, tab "Supplier B · Oct"

For context: an offshore catalog assistant typically costs about $400–1,100 a month, plus the time it takes you to train and check them. A product data or purchasing assistant in the US typically costs about $20–27 an hour. Bulk import apps cost about $20–200 a month, but you still do the matching and checking.
What we don't do: negotiate with suppliers, place orders, write product descriptions, source photos, run live stock feeds (a stock-sync app does that for about $10 a month), give accounting or tax advice, or anything to do with payments. We never import or publish a change you haven't approved.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. Our working day starts while the US is asleep and overlaps the UK morning, so a list from a supplier we've already mapped, sent by the end of your day, is usually checked by your next morning. The first list from a new supplier takes up to 3 working days.

What access do you need?

Usually just files: the supplier lists and an export of your products and costs. We don't need customer or order data. On Shopify, if you'd like us to run the import too, add a staff account with product permissions only, which you can remove at any time. For other systems you run the import. We never need passwords to your bank, payment provider, accounting login or email.

Is my data safe?

Your cost prices and supplier terms are used only for your work. They're kept in our Google Workspace account with 2-step login, and seen only by the person working on your account. They're never shared or sold, never used for another client (even one who buys from the same supplier), and deleted within 7 days if you leave. We're happy to sign your NDA, which helps if your supplier terms keep prices confidential. Supplier emails carry contact names, so for UK and EU clients we act as your processor and sign a data processing agreement. Ask for our one-page data promise.

Is this software or people?

People, with good tools. Software reads the files and sorts the rows. A person checks every line on the change list, and every row we couldn't match, before you see it. Every number is also compared with the supplier's last list or your current cost, so a price that jumps tenfold gets questioned rather than imported.

Which systems can you prepare files for?

Shopify (product CSV or Matrixify), WooCommerce (CSV or WP All Import), QuickBooks Online items, Cin7, Lightspeed Retail, and most ERPs that take a spreadsheet import. Send us your import template. If your system imports from Excel or CSV, we can usually match it.

What if a supplier only sends PDFs or scans?

That's fine. PDFs with selectable text are quick. Scans and phone photos take longer, and every number from a scan is checked by hand against the image. If we can't read something with confidence, we ask the supplier for a spreadsheet or ask you, and we don't guess.

Do you change my selling prices?

Only if you give us a rule, such as 2.2× cost, a 40% margin floor or rounding to .49 and .99. Even then, the new price sits on the change list for you to approve. If a list includes MAP or RRP, we carry it into your sheet and flag any price below it, but we don't advise on pricing rules. Pricing decisions stay yours.

What don't you do?

We don't negotiate with suppliers or place orders. We don't write product descriptions, source photos, or run live stock feeds. We don't give accounting or tax advice, for example on how to value your inventory, and we don't touch payments. We never import anything you haven't approved.

What happens after the free trial?

Pick a plan or stop. Either way the supplier mappings, master sheets and change logs are yours to keep.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card. One-off clean-ups are invoiced once, on delivery.
