Check  Policy checking for independent insurance agencies

The policy came back from the carrier. Does it match what you quoted and bound?

{{BRAND}} compares each issued policy with the binder, quote, application and last term: forms, endorsements, limits, deductibles, premiums, named insureds and locations. You get a list of differences to take up with the carrier, with the page numbers. For commercial and personal lines P&C. A person checks every finding. We give no coverage advice and never change a policy.

The problem

The policy is issued. Someone has to read it against what was bound.

Policies don't always come back as bound

A limit is lower, an endorsement is missing, a named insured is misspelled, a vehicle or location is left off. It can go unnoticed until renewal, or until there's a claim.

A proper check takes real time

A commercial policy runs to dozens of pages. Comparing it with the binder, the application and last year's policy, form by form, can take a service rep the better part of an hour.

The phones win

Policy checking is the job that gets done after the calls, the certificates and the endorsement requests. In a busy month it becomes a glance at the declarations page.

The job ads we read for offshore insurance service reps in US agencies pay about $500–1,300 a month, and policy checking is only part of that role. {{BRAND}} does just the check, for a flat fee from $150 a month, and you don't have to hire or train anyone.

How it works

Three steps. Your first policies are checked free.

Send the policy and what it should match

The issued policy as a PDF from your carrier or agency system, plus the binder or quote, the signed application (ACORD forms or the carrier's own) and, for a renewal, last term's policy. Email or a shared folder is fine.

We compare every line

We line up the fields across all the documents. A person then checks every difference against the pages, and drops anything we can't point to. We compare named insureds, locations, vehicles, dates, limits, deductibles, forms and endorsements, additional insureds, mortgagees and premium.

You get a list for the carrier

A sheet showing each difference, the page in each document, and what to raise with the carrier or confirm with your client. We draft the change-request email. You decide what to send, and you send it.

What changes hands

What you send, and what you get back

You send (as policies arrive)

  • The issued policy PDF, or the carrier's download
  • The binder, quote or confirmation of coverage it should match
  • The signed application, or the submission you sent the carrier
  • Last term's policy or declarations, for renewals
  • Any email where the client asked for a change that isn't in the application
  • Once: the name of your agency system and how you name client files

You get (within 2 working days)

  • A check sheet per policy in your own Google Sheet or Excel file, field by field
  • Differences sorted into: take up with the carrier, confirm with your client, matches
  • A drafted change-request email to the carrier, for you to send
  • A running log of what you raised and whether a corrected policy arrived
  • A re-check of each corrected policy, not counted again
  • A real person to reply to: {{FIRST_NAME}}

Take up with the carrier (5)

  • Client 12 · BOP, Carrier A · general aggregate $1,000,000 on the policy; binder and quote both say $2,000,000. Equipment breakdown is on the binder but not on the forms list. Property deductible is also $2,500 against $1,000 on the binder. Detail below.
  • Client 07 · Commercial auto, Carrier B · binder lists 3 vehicles; the policy schedules 2. The 2022 Transit (unit 3) is missing from the schedule and the premium is $1,740 lower than the binder.
  • Client 19 · Commercial property, Carrier C · water backup endorsement (form WB-100) is on the binder and not on the forms list.
  • Client 03 · BOP, Carrier A · named insured is "Client 03 LLC"; the application and binder say "Client 03 Holdings LLC". Location 2 has a different ZIP from the application.
  • Client 22 · Homeowners, Carrier D · binder lists a mortgagee (Lender A); the policy lists none.

Confirm with your client (3)

  • Client 28 · Homeowners renewal, Carrier D · wind/hail deductible is 2% of Coverage A; last term was 1%. Nothing in the file asks for it. Was it a change the client chose?
  • Client 15 · Commercial auto renewal, Carrier B · premium is $10,856; the renewal quote said $10,100. Last term was $9,200. Did the client add a vehicle or driver? If not, ask the carrier.
  • Client 09 · General liability renewal, Carrier E · hired and non-owned auto is on last term's forms and not on this one. Dropped on purpose, or missed?

Checked and matches (16)

  • Named insureds, locations, dates, limits, deductibles, forms lists, additional insureds and premium all agree with the binder or quote, and with last term where it applies.
Attached: a check sheet for each of the 8 policies above (also in your Google Sheet, tab "Sep 2026") and a drafted email to the carrier for each of the 5 to raise (Client 12's is below). We compare documents. We don't say whether any coverage is right for a client.

Subject Client 12, BOP policy POL-48213: 3 items to correct against the binder

Hi,

We've compared the issued policy with our binder dated 12 September 2026. Three items don't match: the general aggregate is $1,000,000 and the binder says $2,000,000; the property deductible is $2,500 and the binder says $1,000; and equipment breakdown is on the binder but not on the forms list. The attached sheet shows the page for each.

Please issue a corrected policy or endorsement, or tell us if anything was changed on your side, and confirm the premium once it's corrected.

Thanks,

For context: an offshore insurance service rep costs about $500–1,300 a month in the job ads we read, and policy checking is only part of the job. US insurance service reps in some of those ads were paid about $20–32 an hour. Several software tools and agency back-office firms also offer policy checking, and we found no published prices for them.
What we don't do: sell, quote, bind or change a policy, or say whether any coverage is right or enough for a client. We aren't licensed producers, and a licensed person at your agency decides what to do about each difference. We also don't contact carriers or clients unless you ask, issue certificates, sign anything, or handle premiums, claims or payments. Property and casualty only: no health, life or benefits.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. The work runs on shared files and email, so the time difference doesn't slow it down: your results come back within 2 working days of getting the documents.

What access do you need?

Files, not logins. You email the policy PDFs and the documents they should match, or drop them in a shared folder. We never need passwords to your agency management system, your carrier portals, your email or your bank. We don't write into your system: the results are in your sheet, and your staff update the system.

Is my data safe?

Policies contain personal and business details. We use them only to check your policies. They're kept in our Google Workspace account with 2-step login, seen only by the person working on your account, never shared or sold, and deleted within 7 days if you leave. We don't need Social Security numbers, bank or card numbers, or driver's licence numbers, so please remove them from anything you send where you can. We act as your service provider and are happy to work under a data processing agreement or your NDA; send us your security terms and we'll tell you plainly what we can meet. Some carrier agreements and state rules limit who may handle policyholder data, and from where (including outside the US), so please check yours before you send anything. We'll answer your security questionnaire. Ask for our one-page data promise.

Is this software or people?

People, with good tools. Software reads the documents and lines up the fields. A person checks every difference against the pages before it goes on the list. If we can't point to a page in each document, it goes on a "confirm" list, not the carrier list.

What do you compare?

Named insureds and mailing address, locations, vehicles and drivers, policy dates, limits, deductibles, the list of forms and endorsements, additional insureds, mortgagees and lienholders, and premium and fees. We compare them across the issued policy, binder, quote, application and prior term. That covers common commercial and personal P&C policies such as BOP, general liability, commercial property, commercial auto, umbrella, homeowners and personal auto. Health, life and benefits are out.

Which carriers and agency systems do you work with?

Any carrier that gives you a readable policy PDF. Because you send files, it doesn't matter whether you use Applied Epic, AMS360, HawkSoft, EZLynx, NowCerts or QQ Catalyst. Scanned or very poor copies take longer, and we tell you if one can't be read reliably.

Will you tell me if my client's coverage is right?

No. We tell you whether the policy matches the documents you gave us. Whether the limits, forms or deductibles are right for a client is advice for a licensed agent. A policy can match its binder and still be wrong for the client, or differ from the binder because the client asked for a change. We list the difference and you decide.

What don't you do?

We don't sell, quote, bind or change policies, advise on coverage, or issue certificates. We aren't licensed producers or adjusters, and we don't contact carriers or clients unless you ask us to. We don't sign or send anything in your name, and we never collect or move money. We're not lawyers, and this isn't a legal or compliance review. If a document is unclear, we say so and don't guess.

What counts as one policy?

One issued policy, new business or renewal, with the documents it should match. A corrected policy, or a mid-term endorsement on a policy we've already checked, isn't counted again. If your book has very large packages (many locations or vehicles), we'll agree how to count them before you start.

What happens after the free check?

Your first 15 policies are checked free, with no card. Then pick a plan or stop. Either way, the check sheets and every file we made are yours.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
