Your customer POs, entered the same day and checked against the quote.

{{BRAND}} works the customer POs that land in your orders inbox, whether they come as a PDF, a spreadsheet or two lines in an email. We check each one against the quote, your price list and stock, key it into QuickBooks, Xero, Cin7, Fishbowl, Katana or your ERP the same working day, and send the acknowledgement. Mismatches go to the person you name, not to your customer. A person checks every line.

The problem

Orders come in all day. Someone has to key them in, and get them right.

Every customer sends it differently

A PDF from their purchasing system, a spreadsheet, two lines in an email, or "same as last time". Their part numbers, not yours, and a ship-to you've never seen.

The typing is the easy part

The slow part is checking. Is that the quoted price, and is the quote still valid? Is it in stock? Miss it, and the mistake turns up at invoicing, or when the customer pays short.

It waits for whoever is free

The owner or the sales lead keys orders between calls. POs sit in the inbox overnight, acknowledgements go out late, and customers call to ask if you got their order.

US job ads for order entry clerks pay about $16–23 an hour, and you pay for the whole day whether 5 orders come in or 50. {{BRAND}} is priced by the orders you actually get and works your inbox every working day, with no one to hire or manage.

How it works

Three steps. Your next order can be the first one.

Point your orders inbox at us

Set up a forwarding rule from your orders@ address, or add us to that one mailbox. Create a user for us in your system that can enter sales orders. Send your price list and open quotes, and tell us who should get anything that doesn't match. One short call is enough.

We check and key every order

Software reads each PO and drafts the lines. A person then matches the customer, their part numbers and the ship-to, and checks every line against the quote, your price list and stock. Orders that arrive before your cut-off go into your system the same working day.

Acknowledgements go out, mismatches come to you

Clean orders get an acknowledgement from your system or your orders@ address, using your own template. Anything that doesn't match is held and sent to your named person with the PO and the quote side by side. You get a short summary at the end of each day.

What changes hands

What you send, and what you get every day

You send (once)

  • A forwarding rule from your orders inbox, or access to that one mailbox
  • A user login in your system, which you create, control and can switch off
  • Your price list, open quotes and any customer-specific prices
  • Your rules: lead times, minimums, backorders and what to hold
  • Who gets mismatches, your daily cut-off and your time zone

You get (every working day)

  • Orders in your system the same working day, if they arrive before your cut-off
  • Order acknowledgements sent to your customers
  • Mismatches held and sent to your named person, with the PO and the quote
  • Your customers' part numbers matched to yours, and saved for next time
  • An end-of-day summary, plus an order log in your own sheet
  • A real person to reply to: {{FIRST_NAME}}

For context: job ads for order entry clerks pay about $16–23 an hour in the US and about C$18–23 in Canada, and a UK sales support coordinator about £26–35k a year. An offshore sales support assistant costs about $600–1,000 a month, plus the time it takes you to train and check them. Order-reading software starts at about $29 a month, but someone on your team still has to check what it reads and get it into your system.
What we don't do: answer your phone or take phone orders, set prices or approve discounts, make credit decisions or release orders on credit hold, take payments or card details, chase customers for payment, configure custom or technical products, set up EDI, sign or accept contract terms for you, or give legal, tax or accounting advice. We don't work on orders that carry export-controlled (ITAR or EAR) technical data, or patient information.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. We work during your business day. For clients on US or Canadian Eastern or Central time, that's evening and night in Dhaka. For UK clients, our afternoon and evening is your working day. Ask us about other time zones.

What access do you need?

Two things. First, a forwarding rule from your orders inbox, or access to that one mailbox. Second, a user login in your system that can look up customers, items and stock and enter sales orders. You create the login, you control it, and you can switch it off at any time. It doesn't need admin rights, banking, payments or your main inbox. If your system runs on a server in your office, we'll also need remote access to it, such as a VPN or remote desktop login, which you control too. If your system charges for an extra user, we'll tell you before the trial starts.

Is my data safe?

Your orders, prices and customer details are used only to enter your orders. Our working copies sit in our Google Workspace account with 2-step login, seen only by the person working on your account. They're never sold, never used for another client, and deleted within 7 days if you leave. The orders themselves live in your system, not ours. We're happy to sign your NDA. For UK clients we act as your data processor and sign a data processing agreement. Ask for our one-page data promise, which lists every tool that handles your documents.

Is this software or people?

People, with good tools. Software reads each PO and drafts the lines. A person checks every line against the quote, your price list and stock before the order is saved, and reads every acknowledgement before it goes out.

Which systems do you work in?

QuickBooks, Xero, Cin7, Fishbowl and Katana, and ERPs such as SAP Business One, Sage, NetSuite, Business Central and JD Edwards. QuickBooks Online and Xero don't have sales orders as such, so we enter what you already use, such as an estimate, a quote or a draft invoice. If your system imports orders from a spreadsheet, we can use that too.

What happens when an order doesn't match?

We hold it. Your named person gets the PO and the quote side by side, with the difference spelled out: price, quantity, part number, ship-to or a quote that has expired. We don't contact your customer about price. Once your person answers, we finish the order that day. During the free trial, every order goes in as a draft or pending order and your team releases it. The acknowledgement goes out only after that, so nothing ships on our say-so until you've seen our work.

We're on Business Central, or we already have order-reading software. Do we need you?

Maybe not, and we'll say so. Business Central now has Microsoft's own sales order agent, which reads emailed orders and drafts them, and it's billed by use. If your orders are simple and arrive by email, try it first. We help where tools stop: PDFs full of your customers' own part numbers, orders that need checking against a quote, and a person who owns every exception until it's fixed.

What don't you do?

We don't answer your phone or take phone orders, set prices, approve discounts, make credit decisions or release orders on hold. We don't take payments or card details. If a customer emails card numbers, we don't key them; we tell your named person and delete our copy. We don't sign anything or accept a customer's terms and conditions for you: a PO that comes with its own terms, or asks for a signed copy back, goes to your named person. We don't decide sales tax; we use the tax setting already on the customer's account. We can't take orders that carry export-controlled (ITAR or EAR) technical data, or patient information.

What happens after the free trial?

Pick a plan or stop. Either way the order log and the list of your customers' part numbers are yours to keep, and you switch off our login.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH or UK bank transfer) or by card.
