PO expediting desk
Your overseas suppliers chased every day for ship dates, written into your own sheet.
Every month {{BRAND}} matches your supplier invoices to your POs and receiving records, reconciles supplier statements, and checks LTL and truckload freight bills against your quotes and carrier tariffs: accessorials, reweighs, reclasses and duplicates. You get a dispute list and drafted emails to send. A person checks every finding.
The supplier's price is on the PO, the carrier's discount is in a contract PDF, and the quote is in someone's inbox. AP software can read the invoice, but it doesn't know what you agreed.
A reweigh, a reclass, a liftgate, a redelivery, a fuel surcharge that moved. Each one is added after the quote, and none of them is obvious in the total.
The supplier says you owe one number and your ledger says another. A credit note is missing, an invoice is for goods that never arrived, or the same bill was entered twice.
In the job postings we studied, an offshore assistant costs about $500–1,400 a month, and checking invoices is only one of their duties. {{BRAND}} does the check itself for a flat fee from $200 a month, and you don't have to hire, train or manage anyone.
Supplier invoices, your POs and receiving records, the carriers' freight bills with the BOLs and quotes, and any supplier statements. A QuickBooks, Xero or NetSuite export and a folder of PDFs are fine.
We match each invoice to its PO and receipt, and work out what each freight bill should cost under your quote or tariff. A person checks every difference, and drops anything we can't back up with a document.
A sheet of charges to dispute with the evidence behind each, a short list of things to ask first, a statement reconciliation, and drafted emails to your carriers and suppliers. You send them from your own address.
A short summary, a dispute list you can forward, and the email to send with it. This sample uses made-up suppliers, carriers, PO and bill numbers.
In your sheet, each line links to the BOL, the quote and the contract clause behind it.

Hi team,
We've checked your September invoices against our contract and the quotes for each shipment. The attached sheet lists 4 items that don't match, $674.75 in total, with the PRO number, our BOL and the contract section behind each. One shipment, PRO 5520-441, was billed on both invoices.
Could you confirm these and show the credit on the next invoice? Two questions: on PRO 5520-604 you billed 1,420 lb against 1,150 lb on our BOL, so please send the reweigh certificate and scale ticket. On PRO 5520-318 you billed class 85 against class 70 on our BOL and quote, so please send the inspection report.
Thanks,

Last month checked free. Send last month's invoices, freight bills and POs. No card, no contract.
Get my free checkFor context: in the job postings we studied, an offshore assistant costs about $500–1,400 a month (about $850 for an AP clerk), plus the time it takes you to train and check them. A UK purchase ledger assistant was advertised at £28–32k a year, a UK freight billing clerk at £28–33k, and a US logistics coordinator at about $20–26.50 an hour. Freight audit is often sold for a share of what's recovered, and most of the freight audit platforms we found are priced by quote or demo. "Bills" here means supplier invoices plus freight bills.
What we don't do: pay or approve bills, negotiate rates, book or arrange freight, file loss or damage claims, send disputes in your name, or give legal, tax or accounting advice. We check and draft only: we don't act as a freight broker, a payment service or a collection agency.
{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. The work runs on email and shared files, so the time difference doesn't slow it down: your check comes back within 5 working days of getting the files.
Files, not logins. You email the invoices, freight bills, POs and receiving records, or drop them in a shared folder. A read-only login to your carrier portal helps but isn't needed. We never need passwords to your bank, your email or your accounting system, and we don't need your suppliers' bank details.
Your invoices, contracts and records are used only to check your bills. They're kept in our Google Workspace account with 2-step login, and seen only by the person working on your account. They're never shared or sold, and are deleted within 7 days if you leave. Your carrier contract may be confidential, so we're happy to sign your NDA first. If any personal data does reach us, we handle it as your processor and will sign a data processing agreement. Ask for our one-page data promise.
People, with good tools. Software reads the documents and works out what each line should cost. A person checks every difference against your records before it goes on the list. If we can't point to a document and a number, it goes on the "ask first" list, not the dispute list.
The discount against your contract, the fuel surcharge against its table, and the freight class and weight against your BOL and quote. We also check each accessorial (liftgate, residential, limited access, inside delivery, redelivery, detention) against what you booked, and look for the same shipment billed twice. Reweighs and reclasses go on the "ask first" list until the carrier sends its certificate or inspection report.
Any carrier or supplier whose bill arrives as a PDF or CSV, for example XPO, Estes, Old Dominion, Saia, R+L or TForce in the US, or pallet networks in the UK. On your side, QuickBooks Online, Xero, NetSuite, Sage, Fishbowl or a spreadsheet. If you don't have a signed tariff, we check against the quote or rate confirmation.
Then you get a short note listing what we checked and confirming it matched. Some months that's the result. If several months come back clean, tell us and we'll suggest checking less often, or you can stop.
The emails we draft are short and factual: the line, the document, the number. You decide what to send and when. Many carriers and suppliers set time limits for raising billing disputes, and they vary by contract and tariff. We note the deadline when we can find it in your terms.
We don't pay or approve bills, negotiate rates, or contact your carriers and suppliers unless you ask us to. We don't send disputes, file claims or agree to a settlement in your name, and we never collect or move money: credits go from your carrier or supplier to you. We don't book or arrange freight, and we don't file loss or damage claims. We're not lawyers, accountants or a collection agency, and this is a billing check, not a financial audit. We read your contract as written and flag unclear clauses rather than give a legal view. If a supplier's bank details change on an invoice, we flag it to you, and we never act on it.
Last month's check is free, with no card and no contract. After that, pick a plan or stop. Either way, the dispute list and every file we made are yours.

Tell us roughly how many supplier invoices and freight bills you get a month, and how you ship. {{FIRST_NAME}} will reply within one working day with a short list of files to send. Your free check comes back within 5 working days of getting them.
