Chase  Change order paperwork for small trades and remodelers

Text us the extra work. We write it up, get it signed and keep the record.

Your crew texts or WhatsApps a note and a photo of the extra work. {{BRAND}} drafts the change order (a "variation" in the UK and Australia) from your own rate sheet, sends it to your client for written approval, and sends up to three reminders if they don't sign. Approved changes go in a log for each job. You set every price, and a person checks every change order.

The problem

The extra gets done on a handshake. The argument comes at the final invoice.

"I figured it was all part of the job"

The client asked for it, you did it, and three weeks later they don't remember agreeing to pay. With nothing in writing, you're arguing from memory.

A formal change order for $150 feels like too much

Stopping work to write one up, find the price and wait on the client's reply is a lot for a small extra. So the paperwork waits for the evening, and some evenings it doesn't get done.

The only record is a text in a folder

A screenshot of "ok, go ahead" is better than nothing. But it sits on one phone, it may not show the price, and nobody checks that the extra made it onto the final invoice.

If one $200 extra a month goes unbilled, that's $2,400 a year. {{BRAND}} starts at $59 a month. That's arithmetic, not a promise: we can only write up the extras your crew tells us about.

How it works

Three steps. Start with the jobs you have open.

Send us your rate sheet and job list

Your prices (flat prices, per-unit rates, hourly rate, markup), your change order wording or template, and a list of open jobs with each client's name and email. A PDF, a spreadsheet or a photo of your price list is fine.

Your crew texts us

"Client 12 kitchen, two more recessed lights" and a photo, to the number or address we give you. We match it to your rate sheet and draft the change order. A person checks it. If the price isn't on your sheet, it comes to you, and we don't guess.

We chase the approval and log it

The client gets the change order by email and approves by replying in writing (or through your own e-sign tool, if you use one). We remind them every two working days, up to three times, then tell you. Every change goes in the job's log with its status and date.

What changes hands

What you send, and what you get

You send

  • Once: your rate sheet and your change order wording, with your licence number if your state or province asks for it
  • Once: open jobs with each client's name and email, and who on your crew may text us
  • Once: your rule for what goes straight to the client and what comes to you first
  • For each extra: a text or WhatsApp with the job, a few words and a photo

You get

  • A change order sent to your client with the photo and the price from your sheet, with a copy to you
  • Up to three reminders to the client, then a note to you if it still isn't signed
  • The client's written approval, saved as a PDF with its date and time
  • A log for every job in your own Google Sheet
  • A weekly email: waiting, needs your price, newly approved, and approved but not yet on an invoice
  • A real person to reply to: {{FIRST_NAME}}

For context: a full-time offshore assistant costs about $500–1,400 a month, plus the time it takes you to train and check them. A coordinator in the US or UK costs about $16–30 an hour. If you're happy to write and send every change order yourself, apps built for it cost about $10–32 a month (Joist Elite is $32), which is cheaper than us. We're for the extras that never get written up, and for the chasing after they're sent.
What we don't do: set or change your prices, give legal, tax, accounting or insurance advice, do any trade work, collect or move money, or sign for your client.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. We're new and have no client stories to show yet, which is why the first 2 weeks are free and there's no contract. The work runs on texts, email and a shared sheet, so you never need to be on a call with us. Because of the time difference, we work on your change orders while you're off site.

What access do you need?

As little as possible: your rate sheet and change order wording, a job list with each client's name and email, and who on your crew may text us. We give you the number or address to text. We never need logins to Jobber, Housecall Pro, Joist, QuickBooks or your bank. We work alongside those tools, not inside them. Approved changes go in a Google Sheet that's yours, and you add them to your invoices the way you do now.

Is my data safe?

Your rate sheet, job list and photos are used only to write and chase your change orders. They're kept in our Google Workspace account with 2-step login, and seen only by the person working on your account. They're never shared or sold, and are deleted within 7 days if you leave. Your clients' names, emails and job addresses are personal data. We handle them as your processor and will sign a data processing agreement. Please keep door codes, alarm codes and payment details out of texts and photos. We're happy to sign your NDA. Ask for our one-page data promise.

Is this software or people?

People, with good tools. Software helps us read your crew's text, find the matching lines on your rate sheet and draft the wording. A person checks every change order against your rate sheet and the photo before it goes to your client. If a price isn't on your sheet, it comes to you.

How fast does a change order go out?

By your next morning at the latest, and often the same day. We're not a tool for approving while you stand in the driveway. If that's what you need, an app on your own phone is quicker. We're for the extras that get done and never get written up, and for the chasing afterwards.

What if a client says no, or doesn't answer?

That's your call, not ours. We log it as declined or no answer, and tell you. We don't argue with your client, change the price or stop work. You can give us a standing rule, for example: "If nothing by Friday, tell me and I'll ask on site."

Will a signed change order hold up if there's a dispute?

We can't promise that. A change order is only as good as your contract and the rules where you work. Some states, provinces and countries have rules for written changes to home-improvement work, and some require your licence number on the paperwork. We use your wording, and add your licence number if you give it to us. We're not lawyers. Please ask a local lawyer to look at your template once.

What don't you do?

We don't set or change prices, give legal, tax, accounting or insurance advice, do any trade work, or hold a contractor licence. We never collect or move money, and we never sign for your client. We only write to your clients about the change orders you send us. If a client asks for a refund, a discount or a change to your contract, we pass it straight to you and don't reply.

What happens after the free trial?

The trial covers up to 10 change orders. After 2 weeks, pick a plan or stop. Either way, the log and every change order we made are yours.

How do I pay?

A monthly invoice that you can pay by bank transfer (US ACH, UK bank transfer or EFT) or by card.
