Chase  Bid invitation & RFQ desk for small GCs and subs

Every trade chased for a real number before bid day.

{{BRAND}} watches your bid invitations and the public portals you use. When you decide to bid, we send RFQs with your scope and drawings to your subs and suppliers, chase them by email and phone until they quote or decline, and keep a coverage sheet that shows the gaps by trade. A person checks every line. You still do the takeoffs and set the price.

New ITBDental office fit-out via BuildingConnected, due 21 Oct. Bid or pass?
Sample with a made-up project and subs
The problem

The bid is due Thursday. Three trades still have no number.

Subs answer calls, not invites

Busy subs get more invitations than they can price. The ones who bid are often the ones someone phoned. Your estimator means to call. Then takeoffs fill the day.

"Reviewing" isn't a number

Coverage looks fine until two days out, when you learn the subs you counted on aren't bidding. By then the only fixes left are a plug number or a pass.

Invitations pile up

ITBs arrive by email, BuildingConnected, PlanHub and public portals. Due dates, addenda and pre-bid walks get missed, or found too late to price.

A bid with a missing trade is a guess. {{BRAND}} costs less than a US or UK hire to make the calls, and you don't have to train or manage anyone.

How it works

Three steps. You can start on your next bid.

Send us your bids and your sub list

Forward your invitations or share the bid calendar you keep, plus your sub and supplier list by trade and area. An Excel or Google Sheets export is fine. Tell us which platforms and public portals to watch.

We send RFQs and chase

For each bid you go after, every trade gets your scope for that trade, the drawings link, addenda and your due date, sent from your domain or ours. We follow up by email, then by phone in your subs' working hours, until each one quotes or says no.

You see coverage by trade

Every reply goes into one sheet: who was asked, who is pricing, who declined, who quoted and what they excluded, in their own words. Each morning you get a short email with the gaps, so you know where your own calls count.

What changes hands

What you send, and what you get every day

You send (once, then per bid)

  • Your sub and supplier list by trade and area, or edit access to the one you keep
  • The platforms and public portals to watch, and your trades, job sizes and area
  • For each bid you go after: the drawings link, specs, addenda and your quote due date
  • One intro email to your subs (we draft it for you)

You get (every working day)

  • New invitations sorted by due date, trade and distance, with a one-line summary
  • RFQs out within one working day of your go-ahead
  • A coverage sheet per bid, in your Google Sheet or Excel
  • A morning email: gaps, thin trades, new quotes, no replies
  • Addenda sent on to every invited sub, with a note of who confirmed
  • A real person to reply to: {{FIRST_NAME}}

For context: a full-time offshore estimator hired on OnlineJobs costs about $600–1,800 a month, and also does takeoffs, which we don't. An estimator in the US costs about $75,000–180,000 a year, and in the UK about £40,000–65,000. Bid software such as Downtobid (from about $149 a month) or BuildingConnected Pro (about $3,600–5,000 a year in third-party guides) sends the invites, but someone still has to make the calls.
What we don't do: takeoffs, estimates, pricing or bid strategy; choosing or awarding subs; negotiating; completing, signing, bonding or submitting your bid; legal advice on bid documents or contracts; or anything to do with payments. We never share one sub's price with another. We aren't a licensed contractor and don't act as one.

Questions

FAQ

Who are you?

{{BRAND}} is run by {{FIRST_NAME}} in Dhaka, Bangladesh. Our working day runs into the evening, so new invitations are sorted before you start, and calls to your subs are made during their business hours.

What access do you need?

As little as possible: your sub and supplier list, a link to the drawings for each bid (Dropbox, Google Drive, Procore or BuildingConnected all work), and either a forwarding rule for invitation emails or a user on your bid platform if your plan allows one. We never need passwords to your bank, your accounting system or your main email, or any login that can sign or submit a bid.

Is my data safe?

Your drawings, sub list and quotes are used only to work your bids. Drawings go only to subs you've approved. Everything is kept in our Google Workspace account with 2-step login, and seen only by the person working on your account. We never share one sub's price with another sub or anyone outside your company. Nothing is sold, and everything is deleted within 7 days if you leave. We're happy to sign your NDA, or a data processing agreement if you're in the UK or EU. Ask for our one-page data promise.

Is this software or people?

People, with good tools. Software helps us sort invitations, draft RFQs and log replies. A person reads every reply, makes every call, and checks every line of the coverage sheet before it reaches you.

How do you contact my subs and suppliers?

By email from a bids@ address on your own domain or from our desk address, signed as your bid desk. By phone during the sub's working hours, saying who we are and that we're calling for you. We send a sub the same scope, drawings and addenda you'd send, and nothing about anyone else's number.

Can you find new subs when a trade is thin?

Yes. We look for subs that work in your area through public directories, trade associations, licence lookups and your own bid platform, and send you the names first. We only invite them once you say yes. We don't vouch for any sub: prequalification, licence, insurance and bonding checks stay with you.

Do you work on public bids?

Yes. We watch the public portals you name, such as SAM.gov, BidNet, state and city procurement sites, CanadaBuys, Find a Tender or AusTender, and log due dates, addenda, pre-bid meetings and bond requirements. We contact only subs and suppliers, never the owner or the agency. Registration, bid forms, certifications and submission stay with you. Our dated log of every invite and reply can help if a bid asks you to show your outreach, but whether it meets the rules is your call.

What don't you do?

We don't do takeoffs or estimates, price work, level bids or pick a sub, negotiate, or complete, sign, bond or submit your bid. We log each quote's total and the exclusions the sub wrote, but checking scope against the drawings is yours or your estimator's. We log due dates and times from the invitation, but you confirm them and submit the bid. We don't give legal advice and never touch payments. If a sub raises price, terms or payment with us, we pass it to you the same day.

What happens after the free trial?

The trial runs 2 weeks and covers up to 2 bids, with no card. Then pick a plan or stop. Either way the coverage sheets, the sub list and every reply are yours.

How do I pay?

A monthly invoice that you can pay by bank transfer or by card.
